PSI's Leadership
PSI's CEO & President directs, supervises and coordinates the action of the enterprise, under the authority of PSI's Board of Directors. The CEO & President leads the Executive Team (C-suite) which oversees all operating elements of PSI. The Chief of Staff works directly for the CEO & President and closely with other members of the Executive Team to ensure smooth operations of the corporate executive function. The Chief of Staff also undertakes special projects and leads the work of other PSI staff members from various departments in responding to special needs of PSI's leadership. The Administrative Assistant to the Chief of Staff works closely with the CEO's Executive Assistant and other support personnel of C-suite members to ensure coordination and alignment of activities.

PSI seeks an Administrative Intern to provide administrative support to the Chief of Staff and occasionally for other members of the Executive Office. The intern will work with PSI staff across different departments in the Washington office to ensure the smooth and timely flow of work. This position requires flexibility and willingness to assume varied duties and projects. These duties require working on matters of the highest sensitivity and with total discretion. This position reports to the Chief of Staff and is based in Washington, D.C.
Your contribution
• Work closely with the Executive Assistant to the CEO for all Executive Office administrative needs;
• Support administrative preparation for key events, meetings and retreats and assist in the creation and updating of communications materials, including one pagers and presentations;
• Provide logistical, planning support, and on the ground support as needed, for meetings, events, and trips. This includes scheduling, preparing for, and attending meetings and taking notes or minutes as requested. Also, preparing or organizing PowerPoint presentations, spreadsheets and correspondences;
• Coordinate inquiries and responses from internal and external contacts in English and French (or Spanish);
• Translate, proof-read and edit in French (or Spanish) and English;
• Coordinate and compile travel briefing books for the CEO and Chief of Staff;
• Manage the Executive Team SharePoint Pages; ensuring that all relevant materials are housed and organized within the page and updated, documents are tagged, that all web-parts are functional and presentable and that corresponding SharePoint document libraries are properly managed;
• Serve as the logistical support for various working groups;
• Routinely update Salesforce database with relevant information on prospective and current partners and run reports as requested;
• Fulfill other administrative functions, including;
•
o Assisting with travel arrangements and expense report preparation;
o Invoicing, expense reconciling and reclassing;
o Acting as the procurement and finance liaison for the Executive Office;
o Ordering supplies and other materials;
o Creating and maintaining filing systems; managing heavy email/paper flow;
o Word processing and photocopying;
o Conducting research on a variety of program-related topics as requested;
• Other duties and special projects as assigned
What are we looking for?
• Bachelor's degree in a relevant subject;
• Strong command of language and refined writing skills;
• Fluency in English and professional level verbal and written skills in French;
• Excellent organizational and administrative skills;
• Detail oriented and comfortable working in a fast-paced office environment;
• Exceptional communication skills;
• Advanced computer skills (MS Office applications, including Word, Excel, Adobe Acrobat, and PowerPoint. Adobe Suite a plus);
• Ability to analyze and revise operating practice to improve efficiency;
• Proven ability to develop routines to manage large workloads and organize work efficiently;
• Readiness to interact positively with a variety of people and assume diverse duties and tasks;
• Must be authorized to work in the United States. B. PSI will not consider work visa sponsorship for this position.
